Order
Ordering Process
When placing orders or registering, you provide us with your personal data:
We need this data to process and execute your order. In addition to storing it in our internal systems, we pass on your address/contact data—where necessary—to the parcel service or, in the case of a dropshipment item, to the supplier to deliver the order to you. We pass on your email address so that you can be informed of the exact delivery time. For orders delivered by a forwarding agency (e.g., bulky goods), we also transmit your telephone number to the forwarding agency or the manufacturer/wholesaler (for direct deliveries) so that the forwarding agency can contact you to coordinate the delivery time. If a parcel service cannot deliver or collect a shipment from you because, for example, the driver cannot find the address, we transmit your telephone number for the parcel service to contact you directly and clarify the delivery. Once the order has been executed, the data is deleted by the service provider.
Furthermore, we store your order data to be able to help you in the event of warranty and/or guarantee cases as well as other inquiries or complaints. The legal basis for the use of personal data for the purpose of order processing and the fulfillment of post-contractual obligations is Art. 6 (1) lit. b GDPR. In addition, we store your data—where necessary—for the purpose of complying with commercial and tax law requirements within the meaning of Art. 6 (1) lit. c GDPR.
Online Customer Account
To provide you with the greatest possible convenience during your shopping experience, we offer you the permanent storage of your personal data in a password-protected customer account in our webshop. Once this customer account is set up, it is no longer necessary to re-enter your master data and contact details. In addition, you can view and, if necessary, change data stored about you in your customer account at any time. The creation of this customer account is voluntary and is based on your consent within the meaning of Art. 6 (1) lit. a GDPR.
Online Payment Methods
If you choose to pay using the online payment methods offered, personal data is exchanged between us and the respective payment service provider. The legal basis is Art. 6 (1) lit. a and b GDPR.
Credit Assessment
We reserve the right to subject orders to a credit check—particularly in the case of high order values, goods suspected of being fraudulent, and new customer orders—in order to avoid payment defaults. For this purpose, we use address, order, and payment data from affiliated corporate group companies (Saalfrank Qualitätswerbeartikel GmbH, Felix-Wankel-Straße 2 a, 97526 Sennfeld; WV Werbetopshop GmbH, In der Niederwiese 2, 65474 Bischofsheim) as well as from external credit agencies (Creditreform Freiburg Zimmermann KG, Jacob-Burckhardt-Str. 15-17, 79098 Freiburg; Creditreform Boniversum GmbH, Hellersbergstraße 11, 41460 Neuss; CRIF GmbH, Victor-Gollancz-Straße 5, 76137 Karlsruhe; Atradius Collections B.V., Opladener Straße 14, 50679 Köln).
Credit decisions are made individually by our employees and are not the result of automated processes. We transmit your address, order, and payment data to affiliated corporate group companies for their credit assessment purposes. Data exchange with CRIF GmbH also serves to fulfill legal obligations to carry out creditworthiness checks (Sections 505a and 506 of the German Civil Code). CRIF GmbH processes the data received and also uses it for the purpose of profiling (scoring) in order to provide partners in the European Economic Area, Switzerland, and possibly other third countries with information, among other things, for assessing the creditworthiness of natural persons. The transmission of personal data to third countries takes place in accordance with Art. 44 et seq. GDPR. The legal basis for credit assessment purposes is Art. 6 (1) lit. f GDPR.
Fraud Prevention
We reserve the right to subject orders to a fraud prevention check—particularly in the case of high order values, goods suspected of being fraudulent, and new customer orders—in order to avoid payment defaults. CRIF GmbH, Victor-Gollancz-Straße 5, 76137 Karlsruhe, has been commissioned with this check by means of data processing processing agreements pursuant to Art. 28 GDPR.
Debt Collection
If you fail to meet your payment obligations arising from our deliveries, we will hand over our claims for collection to a collection agency (Akzepta Inkasso GmbH, Elsenheimerstr. 43, 80687 Munich) after completing our reminder process. In this context, we will also transfer your address, order, and payment data. The legal basis is Art. 6 (1) lit. f GDPR.
Product Reviews
You have the opportunity to review the products you purchased from us. We publish your review on our website and, if applicable, on the websites of our affiliated corporate group companies (Saalfrank Qualitätswerbeartikel GmbH, Felix-Wankel-Straße 2 a, 97526 Sennfeld; WV Werbetopshop GmbH, In der Niederwiese 2, 65474 Bischofsheim), provided your review complies with our review guidelines. We may determine which of our own advertising materials we send to you and at what intervals using mathematical-statistical scoring procedures that incorporate your address, order, and credit data. You can object to the use of your address and contact data for advertising purposes and for use within the scoring procedure for advertising purposes at any time. The legal basis for the use of personal data for print marketing purposes is Art. 6 (1) lit. f GDPR. If you have explicitly asked us to send you catalogs, the legal basis is Art. 6 (1) lit. a GDPR.
Third-Party Providers
We may also use addresses provided to us by third parties, such as from publicly available sources or addresses of affiliated companies, particularly partner companies within our corporate group. In return, we may also pass on your contact data to these partner companies for postal advertising. This processing takes place in the form of the data-protection-friendly lettershop procedure. This means that the advertising company does not receive customer data, but merely a neutral lettershop that personalizes the advertising materials using the provided address data. Your customer data therefore remains under the responsibility of the responsible body, and the advertising company only becomes aware of this data if you disclose it yourself.
You can object to the use of your address and contact data for advertising purposes by us and to its disclosure to partner third parties at any time. If you do not want third parties to provide your data to us for advertising purposes, you can also submit an objection to disclosure directly to that third party. The source of the data can be found on the respective advertising material. If your address was provided to us by a third party and you have not previously been informed about this data processing, you will receive the information required under the GDPR below: Your address data originates from the company whose address and website you can find in the address field under "Origin of Data." It processes your address data and selection criteria for the purpose of direct marketing by companies as well as for checking and enriching address databases of other companies on the basis of a balancing of interests pursuant to Art. 6 (1) lit. f GDPR. When you visit our website, we collect various data. You provide a lot of personal data yourself when you use our services or contact us, for example when you register and provide your name, email address, or postal address. We also receive technical device and access data that is automatically collected by us when you interact with our services: technical information, e.g., about your browser or the device you use to access the website; information about your visit, such as browsing behavior and patterns (e.g., via which website you reached our site, the duration of your visit to the pages, etc.).
Some of our online services require us to use cookies or similar technologies (collectively: "cookies"). Cookies in this sense are small files or other technologies that allow us to understand how you use the website. Among other things, this enables us to offer you our website, improve our website, and display advertising tailored specifically to your interests on the site. Shop Optimization
We use a portion of the data obtained in this way (customer data, shop data, order data) to optimize our online shops. Specifically, we use this data in pseudonymized or anonymized data forms to define customer types for our products and services, to keep our online shop current and relevant, and to develop our business and marketing strategy. The legal basis for using personal data for these purposes is Art. 6 (1) lit. f GDPR.
Newsletter
You can subscribe to our newsletter during the ordering process or under the "Request Newsletter" section. Only your email address is a mandatory field here. All other personal data (last name, first name, salutation, title) is voluntary and serves the purpose of personal address in the newsletter. After signing up, you will receive an email from us confirming your registration. By clicking the link contained therein, you confirm to us that you actually want to receive our newsletter ("Double Opt-In").
The newsletter can be unsubscribed from at any time. You will find an "Unsubscribe" link at the end of every newsletter. You will generally receive our newsletter every 1 to 2 weeks, presenting great offers from our diverse product range (a complete overview can be found here). We collect device and access data when you interact with newsletters and transactional emails. For evaluations of this type, newsletters contain links to image files stored on our web servers. When you open a newsletter, your email program downloads these image files from our web server. We record the device and access data under a randomly generated ID number (newsletter ID), which we only use for your identification with your explicit consent.
In this way, we can track whether and when a newsletter was opened. The links contained in the newsletter also contain your newsletter ID so that we can determine which content was read. We use this information to deliver personalized content to you. If you have set up a customer account with us, we use your data from the customer account—such as order history—as well as data from your web sessions—such as pages viewed and shopping cart information—to personalize your newsletter and present content tailored to your interests. Applicant Data
We process the data you sent us in connection with your application to assess your suitability for the position (or, if applicable, other open positions in our companies) and to carry out the application process. The legal basis for processing your personal data in this application process is Art. 6 (1) lit. b GDPR. According to this, the processing of data that is necessary in connection with the decision on establishing an employment relationship is permissible.
If the data is required for legal enforcement after the completion of the application process, data processing can take place based on the requirements of Art. 6 GDPR, in particular for the pursuit of legitimate interests pursuant to Art. 6 (1) lit. f GDPR. Our interest then consists in the assertion of or defense against claims.
How Long Is Data Stored?
Data of applicants will be deleted in the event of a rejection after a maximum of 6 months. In the event that you have consented to further storage of your personal data, we will transfer your data to our applicant pool, where the data will be deleted after a period of two years. If you are offered a position during the application process, the data will be transferred from the applicant data system to our human resources information system.
Your applicant data will be reviewed by the HR department upon receipt of your application. Suitable applications will then be forwarded internally to the department heads responsible for the respective open position, and the further procedure will then be coordinated. Within the company, fundamentally only those persons have access to your data who require this for the smooth running of our application process.
Contact
Contact Form
When you fill out our contact form, your email address, the description of your request, and the selection of a rough topic classification are mandatory fields. Providing your customer number is optional. If you are a customer of ours or request the creation of a customer account by contacting us, we will store your email and your information in your customer account and use the data to answer your inquiry. The legal basis for using personal data is Art. 6 (1) lit. a and b GDPR.
Chat
The live chat tool Userlike uses cookies to offer you this real-time chat. With your consent, the following data is collected: IP address, browser type, browser version, referral URL, operating system, and amount of data sent. If you additionally contact us via the live chat tool, the data you voluntarily enter there (e.g., name, email address, message) will also be stored on our behalf by our service provider Userlike on servers within Germany, processed there by us in accordance with Art. 6 (1) lit. a and b GDPR for the purpose of answering the request, and deleted after three months.
If you want to view your previous conversations, you must enter your email address for security reasons and will receive a confirmation code via it. This is processed by the company AWS SES in Ireland.
Storage Duration
Unless expressly stated otherwise in these data protection notices, we delete your personal data once the purpose of processing has been achieved, provided that statutory requirements (e.g., tax and commercial law) do not provide for a longer retention period.
